TRAVEL COORDINATOR JOB DESCRIPTION

Communicating with Club Presidents, Program Directors, and Global Brigades Leadership Team to book
travel for brigade participants

A) Respond to initial inquiries for new Brigade groups In order to obtain all details necessary to book travel
arrangements.
B) Work with Advising Team and Logistics Team.

Executing a messaging system for participants arrival to emergency contacts

Participating in weekly travel coordination calls with Brigades Travel team

A) Preparing questions/comments about current Brigade season and update Master Brigade List (Google
doc) with status of all groups assigned to Coordinator.
B) Following up on action points (if any) within one-two business days.

Helping Travel Lead with on-boarding and training of team members.

Developing travel coordination best practices/ Monitoring travel program successes and challenges

A) Sharing successes and obstacles with Travel Lead and team members and describe what methods work
well and/or could be improved during each Brigade season.
B) Attending weekly Health and Development Team calls to gain big picture perspective for the impact of
Travel Team operations

Fostering relationships with airline personnel to ensure low prices for brigade participants

A) Contacting all airlines to negotiate the best possible pricing, itineraries, and contract terms available for
each group.

Learning and utilizing the Sabre® travel booking software.

Monitoring university recruitment efforts, successes and challenges

A) Keeping communication open with Club Leaders to be certain that each group is on track with fundraising
and/or recruiting enough volunteers to fulfill airline contract requirements.
B) Keeping communication open with Program Directors and Advisors and ask for assistance from Club
President , if needed.
